Position Description

 

Job Title: Marketing and Activity Program Coordinator

Division:  Cedar Lakes Conference Center

Headquarters:  Cedar Lakes Conference Center

Reports To: Reservation Manager

Supervisor Responsibilities: None

FLSA Status: Non-Exempt

 

Nature of Work:

Under limited supervision, the Marketing and Activity Coordinator (Program Coordinator) oversees and manages the professional creation, design, planning, implementation, marketing and improvement of Cedar Lakes Conference Centers’ educational and cultural programs and classes, and other special events held by Cedar Lakes.  The Coordinator is responsible for creating, coordinating, and scheduling all social media content and monitoring analytics metrics – to  include managing the Facebook page and coordinating regular content updates for the Cedar Lakes Conference Center website with Information Technology Division staff.   Program examples include traditional arts and crafts classes, fairs, conferences, agriculture and veterans’ programs.  This position will also be responsible for assisting with the promotion of the facility and identifying new business opportunities. 

Examples of Work:

  • Monitor, manage, and execute Cedar Lakes social media strategy to increase state and national awareness, engagement, and traffic.
  • Create and schedule social media content and monitor analytics, engagement metrics, interact with audiences, and collaborate with marketing teams.
  • Plan, organize, schedule, and implement the Folk-Art adult training program offered by Cedar Lakes Conference Center.
  • Design and create the annual Folk-Art catalogue, manage supply inventory for classes, and prepare all documentation for students and craft instructors for all workshops.
  • Coordinate all events with Cedar Lakes reservation staff to ensure master calendar is accurate.
  • Become familiar and skilled at entering data into Cedar Lakes’ reservation software system (RDP) Resort Data Processing and other project management systems in a timely and accurate manner.
  • Conduct student participation and event action plans to improve organizational performance.
  • Assist with the development and execution of programs/events offered by Cedar Lakes Conference Center.
  • Write and disseminate brochures, news releases, radio and television advertising to promote Cedar Lakes and its programs.
  • Maintain a current mailing and contact lists for all events offered at Cedar Lakes.
  • Assist with the scheduling of pool attendants and party reservations.
  • Prepare and submit to the Director a budget of funds required for the craft program and implement upon approval.
  • Research and explore opportunities to write/submit grant proposals to obtain support for existing and future services if possible.
  • Perform as Logistics staff during cases of emergency within the organization.
  • Sit on Cedar Lakes vision committee to strategize marketing opportunities for Cedar Lakes.
  • May participate as the Commissioner of Agriculture’s representative on the Mountain State Art and Craft Fair Board.
  • Other duties as assigned.

Working Conditions:

Office environment; sitting, standing, walking, driving, lifting up to 25 pounds. May be required to work outside during fairs and festivals.

Knowledge, Skills, and Abilities:

  • Must possess the ability to work independently with little or no supervision as well as collaboratively as needed.
  • Must be able to work with social media software programs such as CANVA, Meta Business Suite, Microsoft, and other project management systems, to design and create content for brochures, flyers, catalogues, face book pages, event programming and organizational management.
  • Must be able to develop, plan, and implement programs from start to finish.
  • Must be proficient in creating spreadsheets, databases, correspondence management, presentations, and video content editing and creation.
  • Must have strong organizational, multitasking, and customer service skills.
  • Must have excellent written and oral communications skills; demonstrates ability to use proper grammar, punctuation, and spelling in verbal and written communications.
  • Must have the ability to develop/compile and communicate information that is timely, accurate, clear and concise.
  • Must have the ability to adapt quickly to change; recover quickly from setbacks and find alternative solutions.
  • Must have general knowledge of accounting principles.

Minimum Qualifications:

Education: High School diploma or GED is required.  Graduation from an accredited college or university with a bachelor’s degree in business administration, marketing, communication, project management, or related field preferred.
Experience: Two or more years of full-time paid employment in marketing, communication, social media, or related field is preferred.

Additional Requirements:

  • Valid driver’s license is required
  • Satisfactory completion of pre-employment drug testing
  • Satisfactory completion of pre-employment law enforcement background investigation, including DMV records.
  • Must maintain a positive image of the Commission, West Virginia Department of Agriculture, and the State of West Virginia.
