Job Title: Administrative Assistant Intern
Division: Animal Health - Meat & Poultry Section
Headquarters: Guthrie Agriculture Center
FLSA Status: Non-Exempt
Hourly Rate: $8.75+ per Hour (Commensurate with Experience)
Nature of Work: Under general supervision of the Assistant Director, this position provides administrative support for the Division as a Summer Intern.
Examples of Work:
- Provides administrative support for various division programs and activities.
- Enters data into various databases.
- Files commercial, custom and distributor licenses.
- Assists with organization of files in various platforms.
- Assists with organizing supplies and inventory.
- Assists with mailings as needed.
- Reviews and distributes incoming mail.
- Assembles application packets for commercial, custom and distributors.
- Answers phone.
- Conducts Internet searches for information.
- Travels to licensed establishments to assist Division staff with updating files.
- Other duties as assigned.
Working Conditions:
- Normal office environment; standing, sitting, walking, lifting, operating a computer and other office equipment.
- Occasional visits to slaughter/processing establishments will require work in an industrial environment.
Knowledge, Skills and Abilities:
- General knowledge of business/office procedures, practices, and equipment.
- General knowledge of software including Microsoft Office (Word, Excel, PowerPoint).
- General knowledge of Internet search engines.
- General knowledge of business English, spelling, and arithmetic.
- Skilled in attention to detail for completing assignments independently.
- Skilled in establishing and maintaining effective working relationships with a wide range of people with various functions and levels of authority in a courteous and respectful manner.
- Advanced written and oral communications skills.
- Ability to quickly grasp rules, regulations, policies and objectives of WVDA.
- Ability to issue and follow oral and written instructions and exercise sound judgment.
Minimum Qualifications:
Education:
High school diploma or equivalent.
Completion/graduation from a business or vocational school with a high level of achievement preferred.
Experience:
Part-time or full-time experience providing administrative support preferred.
Additional Requirements:
- Valid Driver’s License.
- Satisfactory completion of pre-employment drug testing.
- Satisfactory completion of pre-employment law enforcement background investigation, including DMV records.
